ServiceHub Privacy Policy

Effective date: Oct 13 2026

ServiceHub Corporation (“ServiceHub,” “we,” “us”) respects the privacy of everyone who visits our website and uses our Services. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to servicehub.com, the ServiceHub web and mobile applications, and related services (the “Services”). By using the Services, you agree to this Policy and our Terms of Use.

Two kinds of information

This Policy covers two kinds of information, and we treat them differently:

  • Information about you as a user, such as your name, work email, credentials, and how you use the Services. This Policy governs how we use it.
  • Patient and operational data your organization enters, such as patient name, medical record number, location, and service codes used to schedule work. We process this data on behalf of your organization, under your organization’s instructions and, where it includes protected health information (PHI), under a Business Associate Agreement (BAA). We never use patient information for advertising or marketing, and we never sell it.

Information we collect

Information you give us. Most of the personal information we hold, you give us directly. This includes:

  • Registration and early access: name, work email, job title, role, organization name and type, and authentication method
  • Professional credentials: credential type, license or NPI number, and issuing state, used to verify that you are a healthcare professional
  • Profile enrichment (optional or progressive): specialty, practice setting, years-in-practice range, practice ZIP code, and licensure state
  • Prompts and AI features: the prompts, instructions, and other inputs you submit to AI features, and the outputs generated. Prompts may contain patient or operational data. When they do, we handle them as that data, under your organization’s agreement and BAA.
  • Communications: requests for demos, documentation, or support, and survey or feedback responses
  • Employment inquiries: information you submit when applying for a job, which we use only for the application process

Information from verification sources. To confirm your identity and credentials, we may check your information against public sources such as the CMS NPI Registry and state licensing boards, or use third-party credential verification services.

Information collected automatically. When you use the Services, we and our service providers collect:

  • Device and browser information, such as browser type, operating system, device type, and IP address
  • Usage information, such as sessions, pages viewed, features used, referring sites, and timestamps
  • Advertising interactions, such as which sponsored messages you saw or clicked
  • Email engagement, such as opens and clicks

We collect this through cookies, pixels, and similar technologies. We may link automatically collected information to information you have provided.

How we use information

We use the information we collect to:

  • Provide, operate, maintain, and support the Services
  • Verify your identity, employer, and professional credentials
  • Secure the Services, prevent fraud, and enforce our Terms
  • Understand how the Services are used and improve them
  • Communicate with you about your account, product updates, events, and offers. You can opt out of marketing emails at any time.
  • Show sponsored content and advertising on the free tier, as described in our Advertising Policy
  • Prepare aggregated, de-identified audience reports for sponsors, for example, the number of verified schedulers at patient transport companies in a region
  • Create de-identified and aggregated data, as described below
  • Comply with legal obligations

How we share information

What we share depends on your plan.

Paid and Enterprise customers. For organizations on a paid or Enterprise plan, ServiceHub will not give, sell, trade, or otherwise transfer personal information to any outside organization, except as described below for service providers, your organization, your consent, business transfers, and legal reasons.

Free tier. To show and measure ads on the free tier, we share limited pseudonymous identifiers, such as hashed or tokenized IDs, with advertising partners. Some state laws may treat this as a “sale” or “sharing” of personal information. Advertising partners are contractually prohibited from using this information for any purpose other than delivering and measuring ads on ServiceHub. To opt out, update your preferences in the Privacy section of your user profile. We also honor Global Privacy Control signals from your browser.

On every plan, we never sell or share patient or operational data, and we never give advertisers your name, email address, or credential or license numbers. De-identified and aggregated information, described below, no longer identifies anyone and is not covered by these commitments.

We share information only as follows:

  • Service providers. Agents and contractors that host, operate, verify, analyze, or support the Services for us, such as cloud hosting, AI model, email delivery, credential verification, and CRM providers. They must keep the information confidential and may use it only to perform services for ServiceHub. Providers that handle PHI sign a BAA.
  • Sponsors and advertising partners (free tier only). We share aggregated, de-identified audience information with sponsors, such as counts by role category, specialty, organization type, region, and verification level. Where an advertising partner delivers or measures ads, we may provide hashed or tokenized identifiers, which the partner may use only to deliver and measure ads on ServiceHub.
  • Your organization. If your account is part of an organization’s ServiceHub deployment, that organization’s administrators can see your account information and activity in the Services.
  • With your consent. When you direct us to share information, for example by connecting an integration.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
  • Legal reasons. When required by law or legal process, or to protect the rights, safety, or security of ServiceHub, our users, or others.
  • De-identified and aggregated information. We may use and share information that has been de-identified or aggregated so that it no longer identifies you, your organization, or any patient, including insights derived from prompts and usage. We may use it for any lawful purpose, such as research, benchmarking, and developing new products. Where the source data includes PHI, we de-identify it only as HIPAA and the applicable BAA permit. We keep this information in de-identified form, do not attempt to re-identify it, and contractually require anyone we share it with not to re-identify it.

Cookies and similar technologies

Cookies help us keep you signed in, remember preferences, measure usage, and deliver and measure sponsored content. Most browsers let you delete cookies, block them, or receive a warning before a cookie is stored. Check your browser’s help screen to learn more. If you block cookies, some parts of the Services may not work.

Data retention

We keep personal information for as long as your account is active and as needed to provide the Services, meet legal obligations, resolve disputes, and enforce our agreements. After your account is closed, we delete or de-identify your personal information within 6 months, except where the law requires us to keep it longer. Patient and operational data is returned or deleted as set out in your organization’s agreement with us.

Security

We are committed to keeping the data you provide secure. We use administrative, technical, and physical safeguards to protect it from loss, misuse, and unauthorized access, alteration, or disclosure. These safeguards include encryption in transit and at rest, role-based access controls, and audit logging. No system is completely secure, so we cannot guarantee absolute security. Learn more on our Security page.

Your choices and rights

  • Advertising data. On the free tier, you can opt out of sharing your information with advertising partners in the Privacy section of your user profile, or by enabling Global Privacy Control in your browser. You will still see sponsored content, but it won’t be matched to you using shared data. Paid and Enterprise plans are ad-free.
  • Marketing emails. Use the unsubscribe link in any marketing email. We will still send account and service messages while you have an account.
  • State privacy rights. Depending on where you live, state laws may give you additional rights, including the right to know, delete, correct, and opt out of the sale or sharing of personal information or targeted advertising. Residents of California, Colorado, Connecticut, Virginia, Texas, Oregon, and other states with comprehensive privacy laws may exercise these rights by emailing legal@servicehub.com. To opt out of the sale or sharing of your personal information, use the advertising setting in the Privacy section of your user profile. We will not discriminate against you for exercising these rights.
  • Employment applications. Information submitted for employment is used only in the hiring process and is handled under applicable employment law, not these procedures.

Children

The Services are intended for adults working in healthcare. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, a parent or guardian may contact us at legal@servicehub.com, and we will use reasonable efforts to delete it.

Users outside the United States

The Services are offered only in the United States, and information is stored and processed in the United States. If you access the Services from another country, your information will be transferred to and processed in the United States.

Changes to this Policy

We may update this Policy from time to time. We will post the revised version on this page with a new effective date. We will notify you of material changes by email or in the Services before they take effect.
